The compliance gap

If you can't prove you served it, you didn't.

The Renters' Rights Act 2025 obliges every landlord of an assured periodic tenancy to give the official Information Sheet to every tenant by 31 May 2026. Councils and tribunals will ask for proof. "I sent an email" is not proof.

Forwarded from your inbox

No record of receipt, no record of opening, no version control. If the tenant says they never got it, you have nothing to show.

Printed and posted

No timestamp, no proof of delivery, no acknowledgment. Royal Mail certificates prove dispatch — not that the right document arrived.

Pasted into your own document

Altering the official PDF risks failing the duty entirely. The sheet must be served as published by the Department.

How Ploxit works

From signup to provable compliance in four small steps.

  1. 01

    Add your properties and tenants

Type addresses and tenant emails, or paste them in. Ploxit checks for duplicates and missing fields before you send.

  2. 02

Send the official sheet in one click

Each tenant receives the GOV.UK Information Sheet 2026 PDF, exactly as published — with a personal acknowledgment link.

  3. 03

Watch acknowledgments arrive in real time

We capture opens, IPs, user agents and tenant clicks. Every event is timestamped and immutable.

  4. 04

Download your audit log when you need it

Generate a tribunal-ready PDF for any property, any tenancy, any time — for the next six years.

Built for landlords, not lawyers

Everything you need to defend a decision, six years from now.

Ploxit doesn't give legal advice. It gives you the evidence to back up the legal position you take.

Official, unaltered PDF

The Department-published Information Sheet 2026 is bundled with the service and served byte-for-byte. Hash-verified on every send.

Open tracking with timestamps

Capture when each tenant opens the email, with IP and user agent. Every event is stored in a tamper-evident log.

Personal acknowledgment links

Each tenant gets a unique signed URL to confirm receipt. One click — no account, no friction.

Tribunal-ready audit log

Generate a structured PDF for any tenancy: sent / opened / acknowledged events, IPs, sheet version, and the landlord-of-record.

Six-year retention by default

Records are preserved for the statutory limitation period. Export or delete on request — you stay in control.

UK GDPR, by design

Encryption in transit and at rest, EU/UK-region hosting, a Data Processing Addendum executed at signup, and breach notice within 72 hours.

The audit log

The document a tribunal actually wants to see.

One click generates a structured PDF for any tenancy: every send attempt, open event, acknowledgment, IP address, user agent and Information Sheet version. Numbered pages, UTC timestamps, footer disclaimer — designed for evidence, not marketing.

  • Tenant-by-tenant record of every delivery, open and acknowledgment
  • UTC timestamps and IP addresses for each event
  • Information Sheet version stamped on every page
  • Generated on demand — no PDFs to keep filed manually

FAQ

Sensible questions, plain answers.

Who has to do this?

Every landlord (or letting agent acting for a landlord) of an assured periodic tenancy in England must give the official Information Sheet 2026 to each tenant. If the tenancy started before the Renters' Rights Act commenced, you must serve it by 31 May 2026. New tenancies must receive it at the start of the tenancy.

Is the Information Sheet on Ploxit the official one?

Yes. Ploxit serves the Department-published PDF, byte-for-byte, with its version identifier recorded on every send and shown on every audit log entry. You cannot edit it inside Ploxit.

Does Ploxit guarantee my compliance?

No — and any product that claims to is being dishonest. Compliance is judged by councils, tribunals and courts on the facts of your case. What Ploxit does is give you the evidence you need to argue you served the sheet properly: timestamps, IP addresses, opens, acknowledgments, version IDs and a tamper-evident log.

What if my tenant doesn't acknowledge?

Acknowledgment is helpful evidence — it isn't the only evidence. Ploxit also records the send event, the open event (with IP and user agent) and the exact PDF version. You can also re-send and add a postal-delivery note where appropriate.

How is my tenants' data protected?

You sign a Data Processing Addendum at signup. Ploxit is your processor; you remain the controller. We use encryption in transit and at rest, run audit logging on every event, and notify you within 72 hours of any relevant data incident. Records are retained for six years by default to match statutory record-keeping.

Can I cancel and take my data with me?

Yes. Cancel any time from the dashboard. On cancellation you can export every audit log and event record as PDF; on request we delete your data subject to lawful retention obligations.

What about new tenancies after 31 May 2026?

The duty doesn't end at the deadline. Every new assured periodic tenancy must receive the Information Sheet. Ploxit keeps your portfolio compliant as tenants come and go.
